Privacy Statement

We are committed to protecting the privacy of staff, clients and their families. All relevant privacy laws are fully complied with when it comes to collecting, holding, using, disclosing and sharing your personal information.

As part of providing a psychological service we collect and store relevant personal information, including clinical consultation information. This information is retained for the purpose of enabling us to provide a relevant and informed psychological service. Information is only used by your/your child’s psychologist for clinical purposes, including clinical supervision, and our virtual administration service for administrative purposes. We communicate and store information in a cloud based Practice Management Software that meets Australian privacy standards for health care.  

As required by law, your file will be securely stored for 7 years. After this time it will be destroyed in a confidential manner. As required by law, a child’s file will be securely stored until they are 25 years of age. After this time it will be destroyed in a confidential manner. At any stage you are entitled to access your personal information kept on file, subject to exceptions in the relevant legislation.

While we will not disclose information overseas, we may utilise off-shore cloud-based encrypted systems from time to time. For example, for the use of assessment and outcome measures that assist us to assess your difficulties, improving the assessment process. The companies who hold this information do not have access to it in that they cannot read it. They simply store it on our behalf.

Kanda Psychology will only use and disclose personal information when:

  • It is in accordance with the express written consent of the client or family member to which the information relates,

  • There are significant safety concerns with a client or others,

  • As required by law (such as making a notification of alleged child abuse to the relevant government authorities or in complying with a subpoena issued by a court).

Kanda Psychology will never use someone’s personal information for any direct marketing purposes. We may, from time to time, notify clients or their families/carers of available treatment options or programs or changes at the practice; however this is for therapeutic purposes only, and not for marketing purposes.


Confidentiality Statement

All personal information is subject to the Privacy Act 1988 (Cth).

All staff sign a Confidentiality Agreement.

All client information is kept securely.

We abide by third-party reporting requirements such as Medicare (MBS) (information on diagnosis and treatment suggestions will be provided to the referring practitioner) or the National Disability Insurance Service (NDIS) as applicable.

Parental consent is required for information to be provided to a paediatrician, school, or other service provider.

Information on diagnosis and treatment suggestions will be provided to the referring practitioner.

Confidentiality is needed between a child/teenager and their treating clinician to encourage a trusting therapeutic alliance, and for treatment to be successful. We will always encourage a child/teenager to talk with their parent, but will break confidentiality only when safety is at risk.


Cancellation Statement

Regular attendance at scheduled appointments is important for optimal therapeutic outcomes.

A courtesy SMS reminder is typically sent three (3) days prior to your scheduled appointment. Non-receipt of the SMS reminder cannot be used as a reason for non-attendance.

If you are unable to attend your scheduled appointment you are responsible for notifying us by phone or email.

Cancellation fees apply as follows:

  • Less than 2 hours notice or failure to attend: 100% of the consultation fee

  • Less than 48 hours notice: 75% of the consultation fee

Help us NEVER charge a cancellation fee by providing us with notice of your cancellation!
